2025 Conference - Sponsor Info
This page contains information that may be helpful as you prepare for the 2025 conference.
Hotel
The conference will be held at the Sheraton Phoenix Downtown October 26-29, 2025. P2F2 has booked rooms at the Sheraton and also at the Hyatt Regency Phoenix, located just 2 blocks from the Sheraton. The Hyatt has 2 well-known restaurants, including the Compass, Arizona's only revolving restaurant that sits at the top of the Hyatt and offers incredible views of the Valley of the Sun. Rooms at the Sheraton are $249 a night (plus fees and taxes) and rooms at the Hyatt are $269 a night (plus fees and taxes). Those rates are guaranteed until the end of the day on Thursday, October 2nd or whenever the block is sold out, whichever occurs first.

Boxes
Boxes may be delivered to the hotel up to three (3) days prior to the conference. Boxes must be addressed to the person responsible for claiming the parcel at the hotel. Boxes should be addressed to:

Boxes should be numbered 1 of 5, 2 of 5, etc. Deliveries will be assessed a handling fee. The handling fee is as follows:
- Packages, incoming and outgoing (up to 50 pounds): $5 / box
- Packages, incoming and outgoing (> 50 pounds): $10 / box
- Envelopes, incoming and outgoing: $3 / envelope
If you need to ship boxes at the end of the conference, please bring shipping labels. The hotel does not have an on-site shipping agent, but they will hold boxes on the 3rd floor if you already have shipping labels on them and have arranged for them to be picked up. If you do not have a courier account, you can bring boxes to the UPS Store located 1 block north of the Hyatt.
Electricity and AV

Registration Table
When you arrive on Sunday, please stop by the registration desk at the top of the escalators on the 3rd floor (called Studio Lounge) to pick up your name badge and goody bag. The name badge gets you into sessions, lunches and evening events. The goody bag contains a copy of the brochure, attendee lists, and other information that might be helpful during the conference. The registration table opens at 7:30 Sunday morning.
Sponsor Tables
Sponsors are given a 6' skirted table. Tables are assigned and will be available to be set up beginning at 7:30 AM on Sunday, October 27th. Tables will be set up in the Cosmopolitan Ballroom Foyer on the 3rd floor of the hotel. Drink breaks will take place in the same space, as will the Sunday evening welcome reception. Lunches will be held in the Cosmopolitan Ballroom itself. A name tent will be on each table when you arrive on Sunday so you know which table is yours. Most sponsors set up Sunday morning and take down Tuesday night. The first "break" will occur Sunday morning around 10:15. Lunch for preconference attendees will be from 11:45 - 1:00. Sponsors are invited to join us for lunch. P2F2 will provide a pumpkin full of candy for your table. Just let us know if you'd rather not have the candy pumpkin at your table.
Snacks
The cost of providing snacks during breaks has skyrocketed since Covid, so our breaks will be drink breaks only (similar to 2023). You are more than welcome to provide snacks at your table. Those sponsors that did that last year seemed to be very popular with our attendees!
Tour de Sponsors
As we did last year, we are asking attendees to fill out a Tour de Sponsors bingo card with a stamp from each sponsor to qualify for small but fun items from our treasure chest. We have provided each sponsor with a stamp and an ink pad. Please stamp the space that contains your logo as attendees stop by your table. Please leave the stamp and ink pad on your table when you leave at the end of the conference.
Registration
Each sponsor has a point person who works with P2F2 to register attendees. Registration is handled by filling out a Registration Form and sending it to the email address found on the form.
